Questions

My guy already does this in a spreadsheet.

Then you are most of the way there — you already know what your costs are, which is the hard part. What a spreadsheet will not do is update itself when your supplier raises prices, or stop you retyping the same assemblies for the hundredth time. If the spreadsheet is working and nobody dreads it, keep it.

I have been burned by software before.

Fair. Most of that is software sold to you and then left with you. This is set up for you — we do the ingestion and build the price book — and if it is not a fit on the walkthrough we will say so rather than sell you a seat. Your data exports out whenever you want it.

What happens when my supplier changes prices?

You send the new invoices and the price book updates from them, the same way it was built. That is the point of deriving prices from what you actually paid rather than from a catalogue — the catalogue is out of date the moment it is printed.

Do I have to change how I price my jobs?

No. Kalibrate learns the way you already price — your suppliers, your markups, your margins. It removes the arithmetic and the retyping, not your judgement.

What if my costs are all over the place?

That is the normal starting point, and it is exactly what the price book fixes. We build it from your real invoices, so the prices reflect what you actually paid rather than what a catalogue says things cost.

How long does setup take?

It depends on how much history you hand over. We do the ingestion and the price-book build for you — you are not spending your evenings entering data. We will give you a realistic date on the walkthrough rather than a number on a web page.

Is my pricing data private?

Your costs, margins and client list are yours. They are never pooled with other builders and never used to train anything. Reading your invoices uses a third-party AI service under an agreement that prohibits training on your data, and nothing is shared beyond what that processing requires.

What happens if I want to leave?

Your price book is your cost data and you can take it with you. Ask and we will get it to you in a standard spreadsheet format — no hostage-taking, no export fee.

Do I need to be technical?

No. If you can use your phone to send a photo, you can use this. Setup is done for you, and the walkthrough is a conversation, not a training course.

Can this grow into something bigger later?

Yes, and it is built to. Standalone Kalibrate gives you your own site and login. If you later want the full Command Station — jobs, receipts, analytics, an AI assistant — everything you paid for Kalibrate credits toward it.

Do I have to be near you?

No. We are based in Victoria, BC, and on Vancouver Island we can do the walkthrough and the handover in person — which most software cannot offer. Everywhere else it runs remotely: all we need is your invoice history, and the price book is built the same way. We are taking a small number of builders either way so each one is set up properly.
